Set up Hank in Salesforce

Installing and connecting Hank takes about 15 minutes. Start in a sandbox, check that everything works, then connect production.

Before you start

  • An active Hank subscription (sign in to the Visios portal to check).
  • Salesforce admin access in the org you're connecting.
  • About 15 minutes. We recommend a sandbox first.

Hank works in any Salesforce org. If your org uses the Nonprofit Success Pack or Nonprofit Cloud, Hank detects it automatically.

1. Install the package

  1. Sign in to the Visios portal and open Connect Salesforce.
  2. Click Install package under sandbox or production.
  3. Log in to the Salesforce org, choose Install for Admins Only, and click Install.
  4. If Salesforce asks, approve access to the Visios service. That's how Hank talks to it.

2. Give yourself access

In Salesforce Setup, go to Users, open your user, and assign the Hank Admin permission set. You'll need it to connect the org and see the Setup section.

3. Connect the org

  1. In the Visios portal, open Connect Salesforce and click Generate code.
  2. In Salesforce, open the Hank tab and go to Setup.
  3. Paste the code and click Connect. Codes work once and expire after one hour.

Hank checks in with Visios every day. The Setup section shows your subscription, plan, usage, and a setup checklist.

4. Give people access

  • Assign Hank User to everyone who should use Hank.
  • Assign Hank Admin to the people who manage Hank. They see everyone's activity and the Setup section.

5. Add Ask Hank to the utility bar

  1. Setup → App Manager → click the arrow next to an app → Edit.
  2. Open Utility Items and click Add Utility Item.
  3. Choose Ask Hank. Set the panel width to about 400–450 pixels.
  4. Save. Repeat for each app your team uses.

You can also add Ask Hank to record pages and home pages in Lightning App Builder.

The Hank tab

  • Activity: every change and new record Hank made after someone approved it, with the values before and after, who approved it, and when.
  • Proposals: fixes and new records waiting for approval, and ones already resolved.
  • Setup (admins): connection, plan and usage, conversation history settings, and the setup checklist.

In Setup you can change how long unsaved conversations are kept (90 days by default). Saved and pinned conversations are kept until their owner deletes them.

Troubleshooting

  • "You don't have access to Hank yet": assign the Hank User or Hank Admin permission set.
  • "Hank could not reach its service": the org isn't connected yet. Generate a code and connect it on the Hank tab.
  • "That code is invalid or has expired": codes work once and last one hour. Generate a new one.
  • Updates: install the newest version from the portal's Connect page. Your conversations, live views, and connection stay in place.

Common questions

Should we install in a sandbox first?

Yes. Install and connect a sandbox, try Hank with your team, then install in production and connect it with a new code.

Does Hank need access to all our data?

No. Hank runs as each user, so it only sees what that person can already see in Salesforce.

Do we need the Nonprofit Success Pack?

No. Hank works in any Salesforce org and adapts automatically if NPSP or Nonprofit Cloud is present.

How do we disconnect an org?

In the Visios portal, open Connect Salesforce and choose Request disconnect next to the org.
